Work Orders Overview


To access the work orders management window, in the "Maintenance" section of the "General" tab, click on the "Work Orders" menu:

List of Work Orders

List of work orders. According to the state of the Hide 'Closed', closed work orders can be hidden.

Special action buttons. Depending on the state of the selected work order, action buttons displayed will be different.
 
The buttons displayed when the status of the selected work order is "Draft"
  • "Submit for Approval" Button : Use this button to request approval for this work order. Only a user authorized to approve work orders can approve a work order. A user must have the "Work Order - Can Approve" role to be able to approve a work order. You can modify a user's roles via the user form:

After submitting the work order for approval its status will change to "
Pending Approval" and a dialog box will offer you the possibility to send a notification to specific users.
  • "Activate" Button: Use this button to change the status of the selected work order to "Active". The "Active" status indicates that work is in progress on this work order.
     
The buttons displayed when the status of the selected work order is "Pending Approval"
  • "Approve Work Order" Button: Use this button to approve a work order that is in pending approval status. The selected work order's status will change to "Approved" and a dialog box will appear asking if you want to send a notification to one or more users indicating that this work order has been approved. You must have the "Work Orders - Can Approve" role to be able to approve a work order. See this article to learn how to modify a user's roles.
 
The buttons displayed when the status of the selected work order is "Approved"
  • "Activate" Button: Use this button to change the status of the selected work order to "Active". The "Active" status indicates that work is in progress on this work order.
 
The buttons displayed when the status of the selected work order is "Active"
  • "Complete All Services" Button: This button is active when the service entries of the selected work order are not all completed. Use this button to change the status of service entries in this work order to "Completed".
  • "Close Work Order" Button: This button is active when all service entriess in the selected work order are completed. Use this button to change the status of the selected work order to "Closed". When a work order is closed, it is no longer possible to make changes to it.

Use this button to hide closed work orders in list.

Email WO Button

Use this button to send the selected work order in PDF format by email to the technician or vendor in charge, or to other contacts.

General Tab

This tab displays information about the work order that is currently selected.

Events

This box contains the list of events concerning the selected work order.

Costs Tab

This tab displays the costs related to the currently selected work order.
After adding/modifying service entries, parts, labor or misc. costs, you must click on the "Refresh Costs" button to update the values in this tab.

Onglet Facturation/Profits (Billing/Profits)

This tab displays billing and profit data related to the currently selected work order.
After adding/modifying parts, labor or misc. costs, you must click on the "Refresh Billing" button to update the values in this tab.

Service Entries Tab

Use this tab to associate, edit, or remove service entries for the selected work order.
 
The buttons on this tab

Allows you to create a new service entry and associate it with the selected work order.
 

Allows you to associate an existing service entry to the selected work order.


To permanently delete the selected service entry(ies). It will not just disassociate it from the work order, but completely remove it.
 
Dissociate selected service entry(ies). Service entry(ies) will be dissociated but will not be deleted from the list of service entries.
